2. Information We Collect

We may collect and process the following types of data:

  • Identity Data: Name, username, or similar identifiers provided during account creation.
  • Contact Data: Email address and any information provided via contact forms.
  • Technical Data: IP address, browser type, time zone settings, and "cookies" required for the Laravel framework to maintain your session and access logs.
  • Automation Data: If you interact with our automated services, we may process metadata required to trigger and complete workflows (e.g., webhook payloads).
  • Event Media: Photos and short videos you (or your team captain) upload during scavenger-hunt style games and related challenges — for example, checkpoint arrival proof, personal challenge proof, or team challenge / detour proof. Uploads may include people, places, and other content visible in the frame. Device location metadata embedded in image files (EXIF) is stripped on upload where applicable.

3. How We Use Your Data

We use the information we collect to:

  • Provide and maintain the functionality of our applications.
  • Process and execute automated workflows via n8n.
  • Communicate with you regarding updates or support requests.
  • Ensure the security of our website and prevent fraudulent activity.
  • Run live event games: verify that a team completed a checkpoint or challenge, support facilitator / Game Master review, score play, and prepare event recaps (including browsing or downloading photos grouped by team).

4. Data Processing and Automations

Our site utilizes n8n for task automation. When data is processed through these workflows:

  • Workflow payloads and transient AI checks are retained only as long as needed to complete the specific task.
  • We do not sell your data to third parties.
  • Any third-party integrations (e.g., Discord, Slack, Email providers, or vision / AI services connected through our n8n instance) receive only the data required to perform the requested action — for event media, this may include sending a submitted photo (with organiser-defined validation keywords) so an automated check can assist reviewers. Automated photo checks are advisory or soft-accept helpers for gameplay; they do not replace organised event facilitation.

Event media (scavenger hunt / challenges):

  • Photos are resized on the device before upload where possible, then stored on our application servers for gameplay and review.
  • Media files are kept indefinitely until an authorised organiser deletes them (for example, a rejected or superseded shot, or housekeeping after an event). There is no automatic deletion schedule.
  • Access is limited to people with a genuine event role (such as organisers, Game Masters, and on-site facilitators). Participants generally see their own team's submissions in the game UI, not other teams' media.
  • Organisers may download event photos (e.g. as a ZIP grouped by team) for recap or shared album purposes related to that event.

5. Cookies

We use essential cookies to manage user sessions and CSRF (Cross-Site Request Forgery) protection provided by the Laravel framework. These are necessary for the website to function securely. You can set your browser to refuse cookies, but some parts of the site may become inaccessible.

6. Data Security

We have implemented industry-standard security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way. Access to your personal data is limited to those with a genuine business need to know.
